Payment Policies
Booking and deposits
To secure your place at the retreat, a 50% non-refundable deposit of the total retreat fee is required at the time of booking.If booking via Retreat Guru, this deposit consists of the initial platform booking fee plus a direct payment to the organizer to complete the 50% requirement.The remaining 50% balance must be paid in full no later than 7 days prior to the retreat start date.Failure to pay the final balance by this deadline will result in automatic cancellation of your booking and forfeiture of your entire deposit. No exceptions.
Cancellation & Refund
We understand that plans can change. Our policy is designed to be fair to both guests and organizers who prepare for your arrival in advance.
Cancellations More Than 7 Days Before Retreat Start Date
Your 50% deposit is non-refundable under all circumstances.If you have already paid the final 50% balance, that portion will be refunded in full within 14 business days.If you have not yet paid the final balance, no further payment is required, but your deposit is forfeited.
Cancellations 3–7 Days Before Retreat Start Date
No cash refunds will be issued for any payments made.You may transfer 100% of your total paid amount as a retreat credit toward a future ceremony or retreat.Credits are valid for 12 months from the original retreat start date and are subject to availability.Credits are non-transferable to other individuals and may only be used by the original participant.
Cancellations Within 72 Hours of Retreat Start Date
No refunds and no credits will be issued.All payments are forfeited.
No-Shows
Failure to arrive at the retreat by 5:00 PM on Day 1 (or the designated check-in time) without prior written notice will be considered a no-show.No refunds and no credits will be issued for no-shows.Early departures or partial attendance do not qualify for refunds or credits.
Rescheduling & Retreat Credits
Retreat credits issued under the "3–7 Days" cancellation policy are valid for 12 months from the original retreat date.Credits must be applied to a retreat with available capacity and are subject to organizer approval.Credits are non-transferable, non-refundable, and cannot be exchanged for cash.Credits may only be used once and any unused portion will be forfeited.If the new retreat has a higher fee, you must pay the difference. If it has a lower fee, no refund of the difference will be issued.

Travel Insurance Strongly Recommended
We highly recommend that all participants purchase comprehensive travel insurance to cover unforeseen personal circumstances, medical emergencies, or travel delays.
Retreat Guru Platform Fees
The initial booking fee paid via Retreat Guru is subject to the platform's own terms and conditions. This fee is separate from the organizer's deposit and may have different refund rules. Please review Retreat Guru's policy independently.
Force Majeure
In the unlikely event that the retreat is cancelled by the organizer due to circumstances beyond our control (natural disasters, government restrictions, etc.), participants will be offered the choice of:a full credit toward a future retreat, or a refund of all payments made (excluding non-refundable platform fees)
Communication
All cancellations must be submitted in writing via email to info@quantum-vines.com and will only be considered effective upon receipt of written confirmation from the organizer.
